Securing a Travelling Angel

To take advantage of Travelling Angels’ services you can obtain an Obligation-Free Quote by completing the Particulars Section of the Booking Form and submitting it to Travelling Angels.

Travelling Angels will respond within 24 hours of receipt with an Obligation-Free Quote, given subject to Travelling Angels’ Terms and Conditions, covering the Qantas fare (as quoted by Qantas) and Travelling Angels’ fee. All Qantas cost savings including any group travel discount will be passed on to you. The Obligation Free Quote remains open for 24 hours or until Qantas alters its fare whichever comes first. Within that time you can accept the quote simply by completing and returning the Acceptance and Booking Section of the Booking Form.

Travelling Angels then books the seat and within 24 hours sends you a Booking Confirmation that you must keep and produce to the Travelling Angel on duty when checking in your child.

To start the process please complete the Particulars Section of the Booking Form. You must complete all details and supply only accurate information. Travelling Angels needs the information so we can carry out our job properly. All the information you supply is handled strictly according to our Privacy Policy.

If there are any changes to particulars in the Particulars Section you must let us know immediately. Alterations can be made only by a person able to quote the identification code in the Booking Confirmation.

TERMS AND CONDITIONS OF AGREEMENT

The person or persons making this booking by acceptance of the above Obligation-Free Quote and the Holder of any credit card by presenting that credit card as payment accept the following terms and conditions.:-


1. Rates and Conditions
Our published rates and conditions are subject to change without notice but, subject to changes in the law, airfares or errors, no such alterations will be made once your child’s booking has been confirmed by us. Please note all prices are quoted and payable in Australian Dollars.

2. Definitions
“Agreement” means the terms and conditions, Booking Form including Request for Obligation-Free Quote, Obligation-Free Quote, Acceptance & Booking and Booking Confirmation.
“Authorised Person” means the person you authorise to collect your child.
“Travelling Angels” and references to Travelling Angels means Travelling Angels Pty Ltd.

3. Credit Card Payments
3.1 If a credit card is presented as payment, its Holder is personally liable both jointly and separately under this Agreement.
3.2 The following credit cards will be accepted : Visa Card, Master Card, American Express, Diners Club. A surcharge of 2% applies to the use of American Express or Diners Club for payment.
3.3 When payment is made by credit card the Holder agrees that
3.3.1 Travelling Angels is irrevocably authorised to complete any documentation and to take any other action to recover from the Holder’s credit card issuer all amounts due by the Holder.
3.3.2 The Holder will not dispute his/her liability to Travelling Angels for any amount properly due and will indemnify and keep indemnifying Travelling Angels against any loss incurred (including legal costs) by reason of notifying the Holder’s credit card issuer of such dispute.
3.3.3 Travelling Angels may process credit card charges before or after the flight is completed.
4. Personal and Company Cheques
Personal and company cheques will not be accepted as payment.

5. Time
Time is of the essence of this Agreement.

6. Conditional upon Payment
The provision of services by Travelling Angels is conditional upon Travelling Angels being paid in full simultaneously with the submitting by you of your Acceptance & Booking.

7. Cancellations
Cancellation fees in respect of Travelling Angels’ fees apply as follows:

• If booking is cancelled not less than 4 weeks before the flight – 100% refund.
• If booking is cancelled not less than 2 weeks before the flight – 50% refund.
• If cancellation occurs 2 weeks or less before the flight no refund will be offered.

Cancellation of the flight bookings is governed by Qantas terms and conditions and direct application must be made by the person entitled to the refund.

8. No Responsibility for Acts and Defaults of Others
All bookings made with Travelling Angels are subject to this Agreement and any limitations imposed by other suppliers involved, including but not limited to Qantas. Some suppliers limit or exclude liability. Travelling Angels advises that you read their terms, conditions and limitations and take up any concerns with the supplier concerned. Travelling Angels is not in any way liable for any act or omission or default, whether negligent or otherwise, of any other supplier.

9. Governing Law
This Agreement is governed by the laws of the State of Victoria, Australia and prevail in the event of any inconsistency in these terms and conditions. Any dispute must be heard before the appropriate courts of that State.

10. Entire Agreement
This Agreement constitutes the entire agreement of the parties and there are no other oral undertakings, warranties or agreements between the parties relating to the subject matter of this Agreement.

11 Travel Insurance
Travelling Angels strongly recommends that you take out a comprehensive travel insurance policy including medical cover, cancellation and theft of personal property.

12 Privacy
Information supplied in a Booking Form will be retained in accordance with Travelling Angels’ Privacy Policy.

13. Transferability/Security
You are not permitted to transfer the booking and benefit of your contract with Travelling Angels. Travelling Angels reserve the right to refuse to accept the check in of any child or to deliver a child to any person unless satisfactory security procedures are provided in accordance with these terms and conditions.

14 Policy on Check In
Travelling Angels accepts check ins from 30 minutes before the scheduled departure time down to 10 minutes before the scheduled departure time. For other check in details refer to Day of Travel.

15 Policy on Collection
The Travelling Angel chaperoning your child will wait at the exit gate for that flight for 20 minutes from the time disembarkation commences. After this a late fee of $50 for every 5 minutes applies. We will attempt to contact you if the authorised person fails to appear within 45 minutes after disembarkation commences or fails to comply with security procedures. If we cannot obtain instructions from you with which we can reasonably comply we will return your child to the airport of departure, at your cost.

16 Security Procedures
At Check In you must produce to the Travelling Angel on duty:-

• your Booking Confirmation;
• your Photo ID (current driving licence or passport); and
• all Additional Security requirements (see paragraph 17).

At Collection the authorised person must produce to the Travelling Angel on duty:-

• Photo ID (current driving licence or passport); and
• all Additional Security requirements (see paragraph 17).

17 Additional Security
If you have notified Travelling Angels that you want Additional Security for your child –

• by password – the authorised person collecting your child must clearly and audibly repeat the password assigned to you in the Booking Confirmation to the Travelling Angel on duty. It is your obligation to ensure the password is known by the authorised person;
• by photographic recognition – it is your obligation to hand to the Travelling Angel on duty a recent photo of the authorised person to assist in identification.

18 Delay of Flight
As we all know flights can be delayed, occasionally for quite substantial periods. This is just one more reason why you have enlisted our services. Travelling Angels will act as the situation requires and in the best interests of the children under our care. This will include making contact with the appropriate people you have nominated so they are kept informed. That is why we need accurate information in this area and the certainty that the person we are trying to contact is readily accessible. In no circumstances will Travelling Angels be liable for any losses that may be incurred as a result of any such delayed or rescheduled flight or service. If the flight terminates at a destination other than that specified in the booking, Travelling Angels will make all reasonable endeavours to convey your child to the specified destination but undertakes no obligation to you as to the time or means of transport.

19. Variation of Services
Travelling Angels will make all reasonable endeavours to provide your child with the services the subject of this booking but in appropriate circumstances beyond its control, Travelling Angels may, without notice, have to substitute other services. These terms and conditions apply to any such substituted services and Travelling Angels will not be liable for any losses incurred as a result of such substitution.

20. Indemnity
Subject to these terms and conditions Travelling Angels is not liable for or in connection with any:

20.1 loss of or from or damage to baggage (including but not limited to wear and tear);

20.2 illness, injury or death of any person, including (with limitation) any illness, disability or injury to or death of any person caused or aggravated by air travel;

20.3 loss caused by you or your child’s negligence or breach of these terms and conditions or failure to comply with applicable laws, regulations, orders or requirements;

20.4 loss caused by Travelling Angels’ compliance with applicable laws, regulations, orders or requirements;

20.5 Loss arising out of or in any way connected to the provision of the services to be undertaken by Travelling Angels (whether arising from negligence or otherwise) including, without limitation, any change to the services described in or covered by the booking or inaccuracies or errors in any information related to transport services or pricing.

Travelling Angels reserves all rights against any other person including rights of contribution and indemnity.

21. Alteration
These terms and conditions may not be altered, modified or waived by any person (including Travelling Angels’ agents, servants, employees or representatives)

HELPING TRAVELLING ANGELS MAKE YOUR
CHILD’S FLIGHT BETTER

In Between
Travelling Angels recommends that you take on board the following before your child’s flight.

• Provide materials to keep your child occupied and entertained during the flight.

• Keep carry-on luggage to a minimum. Travelling Angels will collect this luggage from you at the check-in and return it to the person collecting your child at the destination airport.

• Sometimes flights arrive earlier than scheduled. Ensure that the person collecting your child will arrive at the gate in advance of the scheduled arrival just in case.

• Review with your child your rules about talking with strangers. Remind your child that he or she should only ask for assistance from a Travelling Angel.

• If your child has not flown before, make a trip to the airport. Familiarise your child with the inside of the terminal building.

• Before your child goes on this trip prepare him or her for it by explaining the details in advance – it is less stressful for everyone.

• Make sure your child is well rested before arriving at the airport.

• Ensure your child has a carry-on bag containing some favourite snacks and books or magazines. Like you, kids need something to read or eat in case of a delay.

• Make sure the person collecting your child is aware of all flight details and all formalities that need to be undertaken particularly the need to present appropriate I.D and, if you require it, the assigned password.

Day of Travel
On the day your child is to travel the parent/guardian who has been nominated in the Booking Form to do so, must accompany the child and must comply with the following:-

What the nominated parent/guardian must do:-

• Travelling Angels suggest you arrive at least one hour before the scheduled departure time.

• check in your child’s baggage with Qantas before you do anything else;

• next you must check in your child with Travelling Angels whose representative will be waiting at the designated gate for your child’s flight (and clearly identified). Travelling Angels accepts check ins from 30 minutes before the scheduled departure time but insists that check ins must be not later than 10 minutes before the scheduled departure time;

• you, the nominated parent/guardian must produce your I.D. material to the Travelling Angel on duty and photo identification, if you require its use, at the check in point. Travelling Angels will not deal with anyone other than the nominated parent/guardian;

• you must also deliver to the Travelling Angel on duty your child’s travel documentation for safe keeping until the end of the flight;

• you must hand to the Travelling Angel on duty your Booking Confirmation and a copy of this will then be signed on behalf of Travelling Angels and returned to you for your retention. From that point your child is in the care of the Travelling Angel on duty who has been carefully selected for this work in accordance with our Engagement Policy;

• the nominated parent/guardian must remain at the gate until the flight has departed.
In-flight

• your child will be seated in an assigned seat with a Travelling Angel in close attendance;
• your child will be given explanations to remove fears and/or concerns he/she may have;
• your child will be given appropriate meals and snacks but your instructions regarding diet needs will be strictly observed in accordance with the Booking Form;
• your child will be introduced to appropriate games and activities for amusement and interest;
• safety regulations will be adhered to; and
• the Travelling Angel on duty will accompany your child to (but not into) the toilet as required. If difficulties may result please refer to “special requirements” in the Booking Form.

Collection

• Travelling Angels will deliver your child to the designated person at the designated gate for your child’s flight (and clearly identified).

• It is the responsibility of you the parent/guardian to ensure the following:-
• Your child is collected within 20 minutes after the aircraft commences disembarkation.

• If your child is not collected at the Travelling Angels’ collection desk, Travelling Angels will endeavour to contact the authorised person and if this proves unsatisfactory will endeavour to contact you the parent/guardian. If this also proves unsatisfactory Travelling Angels will be forced to return your child to the airport of departure at your cost.
